Add an Event Template
Event templates are used to simplify and reduce the amount of data entry required for each event. Event templates also help to minimise data entry errors as much of the information is built into the template. There are a number of built-in Event Templates in Icare, but you can also create your own.
An event template records information about the event and prompts the user to enter the correct information.
To add an Event Template, select
from under the Setup heading on the menu. This will open the Event Templates page and will list all current Event Templates (both Built-in and RTO defined).Select
from the box on the left. A series of fields will be displayed to characterise your Event Template including:- Name
- Enter a simple, but descriptive name for the Event template.
- Type
- Enter the Event Type
- Subject
- This will be the text recorded under the Subject heading in the Recent Events list.
- Modules
- Specify the required option from the drop down list (All, None, Selected or Successful).
All: Will list all modules from the enrollment; None - no modules will be referenced; Selected - only highlighted modules will be referenced; Successful - only successfully completed modules will be referenced; If no choice is made (i.e. the field is left as ---- no modules will be referenced whether they have been highlighted or not).
- Module Type
- Specify the type of module that this event will be attached too (Assessed, Referenced, Scheduled, Trained or Withdrawn).
- Mark
- If this field is available, specify the Mark that this event will be assessed as (Competent, Not Yet Competent, RPL Granted)
- The marks that are available in this list will be dependent on the Marks that have been set up in your RTO database. Marks are established and edited under Manage Marks from the menu.
- Proposed Start Date
- If this field is available, specify the new proposed commencement date.
- Proposed End Date
- If this field is available, you can specify a new Proposed End Date in this field. The proposed end date for the selected modules will be adjusted based on the information entered here. For Example, if the Proposed End Date was entered as two months, the end date for that module would be adjusted to be two months after the date of the event.
- Changes to Proposed Start Dates and Proposed End Dates are optional. If they are not specified in the Event template, they can still be adjusted when the event is added to an enrolment.
Example - Group Training Event
- Name
- Enter Training - Group Training.
- Type
- Enter Training.
- Subject
- Enter Training - Group Training.
- Modules
- Specify Selected.
- Module Type
- Select Trained.
- Mark
- For a Training Event, this will be greyed out.
- Proposed Start Date
- For a Training Event this will be greyed out.
- Proposed End Date
- If desired, select Months then enter 2. This will automatically set the Proposed End Date for the selected modules to be 2 months from the event date.
- Entering a value in the proposed end date field is optional. If you do not wish to change the proposed end date, leave this field blank.
Example - Extension Granted Event
- Name
- Enter Extension Granted.
- Type
- Enter Training.
- Subject
- Enter Extension Granted.
- Modules
- Specify Selected.
- Module Type
- Select Assessed.
- Mark
- Select Extension Granted.
- Proposed Start Date
- For a Training Event this will be greyed out.
- Proposed End Date
- Select Months and then enter 3.
- By including a Proposed end date of 3 months in the Extension Granted Event Template, any module that has this event applied to it will automatically have the end date set at three months from the date of the event.
