USI Integration

Icare can integrate with USI Web Services so that you can Verify and Search for USIs within Icare. There are two methods of integration:

  1. Direct connection with local Machine Credential, or

  2. Via authorised broker Omniscient Australia Pty Ltd.

The second method was made available in February of 2022.

Following are descriptions of the two methods and details of how to set them up.

Direct connection with local Machine Credential

This method requires you to maintain a Machine Credential, and it's associated password, within the Icare database.

With this method the Icare software contacts the USI Web Services directly and provides a Machine Credential as authorisation to make requests on behalf of your RTO.

Every two years you create a Machine Credential, secure it with a password and import it into the Icare database. Each time you perform a USI request you need to enter the password to unlock the Machine Credential.

When will your Machine Credential expire?
  • from the Home page

  • click Management

  • click USI Settings

  • look for the Not After date.

To use this method you must:

Create and import an Machine Credential

Follow steps 5 and 6 of AUSkey is changing.

Indicate your choice on Icare's policy page
  • from the Home page,

  • click Management,

  • click Manage Policy

  • under the USI heading,

  • enter USI Integration = Direct connection with local Machine Credential

  • click Save Changes

Via authorised broker Omniscient Australia Pty Ltd

This method uses a broker service in between the Icare software and the USI Web Services.

The broker service is operated by Omniscient Australia Pty Ltd who also licences the Icare software to you.

In order for the broker service to make USI requests on behalf of your RTO, you need to authorise the broker relationship. This is similar to when you authorise accounting software , such as MYOB or Xero, to submit BAS returns on your behalf.

To use this method you must:

Request a broker authorisation to be prepared for your RTO

Contact Omniscient Australia Pty Ltd via support@omniscient.com.au or 1300 660 152 and request a broker authorisation to be prepared.

A Software ID will be generated and entered into your Relationship Authorisation Manager (RAM) ready to be accepted in the next step.

Accept the broker authorisation
  • login to the Relationship Authorisation Manager (RAM),

  • accepting the login with the myGovID app on your phone,

  • click View or manage authorisations,

  • click your RTO name in the list of businesses,

  • click Manage notifications in the options across the top,

  • locate the entry labelled Icare, with an ABN of 88 103 223 650, and status of Pending,

  • click Edit to the right of that entry,

  • check that the following details are correct (these will be pre-filled):

    Digital Service Provider
    • Omniscient Australia Pty Ltd

    • ABN 88 103 223 650

    Software ID

    As generated by Omniscient Australia Pty Ltd

    Start and end dates
    Agency access details

    Only Office of the Student Identifiers Registrar should be ticked.

  • accept the declaration,

  • click Submit.

Enter your RTO's ABN
  • from the Home page,

  • click Management,

  • click Manage RTO

  • click Edit RTO

  • enter ABN

  • click Save Changes

Indicate your choice on Icare's policy page
  • from the Home page,

  • click Management,

  • click Manage Policy

  • under the USI heading,

  • enter USI Integration = Via authorised broker Omniscient Australia Pty Ltd

  • click Save Changes
